A folder full of documents is an archive. A useful knowledge system helps you retrieve the right evidence when you have a decision to make.
1. Identify the questions that matter
Write five recurring questions you wish were easier to answer. Use them to decide which information deserves to be included in your library.
2. Keep your inputs structured
Attach a source, date, topic, permission status, and short explanation to each document or note. Do not merge personal observations with confirmed facts.
3. Connect retrieval to the source
When AI retrieves an answer, make sure it points back to the document, passage, or approved project note from which the claim came.
4. Review privacy and usefulness
Use authorized information only, and test the system using realistic questions. An answer that sounds correct but cannot be verified is not ready to rely on.
Structured evidence is more valuable than an ever-growing collection of files.
A practical editorial framework, not a claim that a specific automation or commercial result has been verified.
